Who we are
fun-run.co.uk is operated by Tylney Ltd ("we", "us", "our") and runs on the Fundraisy platform. Our contact email is fun-run@fundraisy.co.uk.

How this policy works
We collect and use personal information in a few main ways:
- Information from organisers and account holders who sign up to use fun-run.co.uk.
- Information from participants who take part in an event, including children whose pages are managed by a parent or carer.
- Information from supporters who sponsor a participant or donate to an event.
Your rights and how we use your information depend on which of these applies to you.
Information from organisers (account holders)
When you create an account or manage an event on fun-run.co.uk, we collect information such as:
- Your name
- Email address
- Group or organisation name
- Account activity and usage information
- Messages or correspondence sent to us
We use this information to:
- Create and manage your account
- Provide our services
- Send important service updates
- Respond to support queries
- Improve fun-run.co.uk
- Send occasional updates or offers (you can unsubscribe at any time)
For organiser account data, fun-run.co.uk acts as the data controller.
Information from participants
When someone takes part in an event, the organiser collects the participant's name so they can manage their event. The organising group can see a list of named participants for their event.
Children's sponsorship pages
A child can take part in an event when a parent or carer signs them up. In this case:
- The parent or carer holds the account and login details. The child does not have their own account.
- The parent or carer can choose to set up an individual sponsorship page for the child. They may add the child's name, photo and a note about the event. This is entirely optional.
- The parent or carer controls that page and chooses who to share its link with. The page is not indexed by search engines, so it is only visible to people the parent or carer shares the link with.
- The organising group (for example a PTA) can see a list of named participants for their event, but has no access to or control over a child's individual sponsorship page.
Information from supporters
When someone sponsors a participant or makes a donation, we collect the information needed to process the payment. This may include:
- Name
- Email address
- Payment information (processed securely by Stripe)
- A message, if they choose to leave one
- Gift Aid declaration details, including the supporter's name and home address, if they choose to give one
We use this information to:
- Process the donation
- Provide confirmation and receipts
- Prevent fraud or misuse of the platform
Showing a supporter's sponsorship on a participant's page
When a supporter sponsors a participant, they can choose to have their name, amount and message shown on that participant's sponsorship page. This is entirely optional. If they do not opt in, their sponsorship is not displayed on the page.
Where shown, this information is visible to anyone the page link is shared with. Sponsorship pages are not indexed by search engines.
Sharing supporter contact details with the organiser
When making a donation, supporters are clearly asked whether they would like to share their contact details with the group they are supporting.
We only share a supporter's name and email address if the supporter gives explicit consent. If a supporter chooses not to share their details, their donation is treated as anonymous for that purpose.
Where contact details are shared, the organising group becomes the data controller for that information and is responsible for using it lawfully and in line with data protection law.
Payment processing
Payments are processed by Stripe. Stripe acts as an independent data controller for payment information and processes data in accordance with its own privacy policy.
Legal basis for processing
Under UK GDPR, we rely on:
- Contract: to provide our services to account holders, as set out in our Terms and Conditions.
- Consent: where supporters choose to share contact details, opt in to display their sponsorship, or subscribe to updates.
- Legitimate interests: to operate, secure and improve fun-run.co.uk.
- Legal obligations: where we are required to retain or disclose information.
How long we keep information
- Organiser account data is kept while the account is active.
- Inactive accounts may be deleted after 12 months of no activity.
- Donation records may be retained where required for legal or financial reporting purposes (including Gift Aid records).
- Website usage data is typically retained for up to 30 days.
How we store information
fun-run.co.uk is built on secure infrastructure. Data is stored within the UK or EU using trusted hosting providers.
Your rights
Under data protection law, you have the right to:
- Access your personal information
- Correct inaccurate information
- Request deletion of your information
- Restrict or object to processing
- Request transfer of your data in certain circumstances

If you are a parent or carer managing a page on behalf of a child, you can exercise these rights in relation to your child's information.

We use cookies and similar technologies for two reasons: to make fun-run.co.uk work properly, and to understand how visitors use it.
Essential cookies
Essential cookies are required for core features such as secure login and account management. The website cannot function properly without them. These are always on.
Analytics and advertising
With your consent, we use the following third-party tools to understand how the website is used and to support our marketing:
- Google Analytics 4: helps us understand which pages visitors read, how they arrive at fun-run.co.uk, and how the website performs. See Google's privacy policy.
- Google Ads: helps us measure the effectiveness of advertising campaigns and reach similar audiences. We use the same Google Ads account across fun-run.co.uk and the wider Fundraisy platform, so audiences are pooled. See Google's privacy policy.
- Meta Pixel: helps us measure the effectiveness of advertising on Facebook and Instagram. We use the same Meta Pixel across fun-run.co.uk and the wider Fundraisy platform, so audiences are pooled. See Meta's privacy policy.
These tools are loaded only after you accept tracking cookies through our cookie banner. They may transfer information about your visit to servers in the United States and elsewhere outside the UK and EU. The providers take part in approved data transfer frameworks for that purpose.
Managing your preferences
Analytics and advertising cookies are off until you accept them. You'll see a cookie banner on your first visit. You can change your choice at any time using the "Cookie preferences" link in our footer, or the button below. You can also block or delete cookies through your browser settings.
Changes to this policy
We keep this policy under regular review. If we make changes, the updated version will be posted on this page. Your continued use of fun-run.co.uk after a change is published constitutes acceptance of the updated policy, alongside our Terms and Conditions.
